The Executive Secretary reports to the Executive Director.
Because of international operations of the association, which may require that most other personnel be absent on assignment, the executive secretary is responsible for the overall needs of the association according to the instructions of the Executive Director and decisions set by the Board of Directors.
Duties:
Membership Enrollment & Maintain Member files
Announce & Recruiting IPIA courses.
Maintain and produce training materials in advance of classes
Update training manuals and exams at the direction of the Executive Director
Student Records (database, student files, reports & certificates)
Bookkeeping (A/P, A/R, Financial Reports, Property & Payroll Taxes, Employee Payroll)
Deal with IRS, TEC, Harris County Tax Collector/Assessor
Board of Directors: Announce meetings, provide Financial Reports, Dictation/Transcription of Minutes
Interact with Members, potential customers and students
Interact with professional societies
Market Association and it's objectives per the direction of the Board and Executive Director
Travel Arrangments (U.S.A. & International) for IPIA and for society involvement of the association.
Lodging, Airline, Auto Rental, Training Room, Visa/Passport, Customs requirements (Department of State)
Annual General Meeting (AGM) Arrangements
Announcement, Generate Annual Report, Hotel, Airline, Catering, Speakers, Activities, Sponsors, Minutes of Meeting
Annual Golf Tournament Arrangements
Generate Quarterly Newsletter
Computer Programs: Word, Quick Books, Publisher, Test Generator, Photo Editor programs, PDF programs, Web Design & publishing to server, Coffee Cup HTML & Coffee Cup Direct FTP, WS FTP, scanning programs, Internet..
(Ability to learn new computer programs as needed)
Errands & Purchases as needed to meet operation needs of the association.
